Document management
Most company documents do not start on a blank page — they come out of something that happened: an invoice arrived, a request was filed, someone went on a business trip, a deal was won. Those are the documents Ezura handles: the document is created where the action takes place, approved or signed in a set order, and kept with a record of who and when.
1/6 · TemplateThe employee opens Documents and picks a company template. We load templates built from your own documents during onboarding.
- Personnel documents from company templates, filled with the employee's details
- A signing chain along the reporting line — who has signed and who is awaited
- A document number and a PDF that can be downloaded at any time
- An incoming invoice together with its acceptance act and waybill
- Invoice approval, by two people where needed
- A change history: who, what and when
A document from a template, not from a blank page
The employee picks a template and fills in a few fields; name and position are entered automatically. A PDF is generated from that, and the document gets a number.
Leave and business trip documents need no separate step — they are generated from the request itself, with the same dates and approvers.
- requests — leave, unpaid leave, study leave, remote work, work schedule, change of position, benefits
- business trip documents
- orders and authorisations
- consents and employee information forms
A signing chain that shows what is still awaited
A document is signed first by the employee who created it, then by the managers up the reporting line, strictly in order. Everyone sees the documents waiting for their turn in one queue.
The signer sees the document itself and, next to it, the chain of signatures: who has signed and whose signature is awaited. The signed PDF can be downloaded.
Each employee finds their own documents in the archive, sorted into folders — leave and absences, business trips, policies and others — and found through search.
An invoice is not alone: the act and the waybill sit beside it
An incoming invoice is kept with its original, always visible next to the extracted data. If an acceptance act or a waybill arrived with it, they are placed with the same invoice, on separate tabs.
The person approving no longer hunts for the email that carried the act: everything needed for the decision is in one place, on a computer and on a phone.
Approval with a clear answer to who and when
A manager reviews the invoices assigned to them and marks each as fine or suspicious, leaving a note for the accountant when needed. If some invoices need two approvals — above a certain amount, say, or from certain suppliers — they wait for the second person.
Every change to an invoice stays in its history with a name and a time. Six months later the question "who approved this?" is answered by the system, not by memory.
Deal files stay on the deal
If you use the Ezura CRM, proposals, drawings and other deal documents are uploaded to the deal card, grouped and previewed without downloading.
Once the deal is won, the same files are visible to the team delivering the project.
Frequently asked questions
- Is this a qualified electronic signature?
- No. The document is signed inside the system: the PDF records who signed and when. Smart-ID and mobile signatures are not available yet, so for documents that require a qualified signature, use a tool built for that.
- Are signers notified?
- Not yet. Signers see the documents waiting for their turn under Pending Signatures after logging in.
- Is this a full document management system?
- Not quite. Ezura does not keep a register of incoming and outgoing correspondence and does not apply retention periods. It handles the documents that come out of its own processes: invoices with their companion documents, personnel documents and deal files.
- Can we use our own templates?
- Yes. We prepare and load the templates from your company's documents during onboarding; they cannot be edited on screen yet. Templates are in Lithuanian.
- Can HR prepare a document for another employee?
- Not yet. A document is created by the employee about themselves, and leave and business trip documents are generated from the request. There is no archive of every employee's documents for HR yet either: in the archive, each person sees their own documents.
- Who decides which invoices need two approvals?
- The rule — above which amount, or for which suppliers — is agreed and set up during onboarding.
