Invoice approval
An accountant can check whether an invoice is correct, but not whether it should have been incurred. Only the person who ordered the work or the goods can answer that. Ezura sends the invoice to that person: they approve it or flag it. The accountant's list can show approved invoices only, with the number still waiting at the top.
1/6 · SubmitThe employee photographs the invoice or receipt in the Ezura app and taps Submit. Emailing it in or uploading it in the browser works too.
- Each department or team has its own approver
- A second signature above a set amount or for chosen suppliers
- Approve, flag as suspicious, leave a note for the accountant
- Approve on the phone: the invoice, amounts and VAT on one screen
- The accountant sees what is not yet approved
- A history of who approved or changed what, and when
Control when you are not in the room
Many Lithuanian companies are owned or managed from abroad, while the bookkeeping is done locally, often by an outside accounting firm. The owner wants to know that every cost was approved by someone responsible before it reached the books and was paid. And they want to be able to check it without asking anyone.
Ezura gives that control: a fixed approval order, a second signature for larger amounts, and a record of each decision. Approvers and managers can use the web app and the phone app in English, while the accountant works in Lithuanian.
Approval routes: who approves which invoices
Approval routes follow your company's own rules, and those follow whose cost it is. Each team or department has its own approver, who sees only their own people's invoices. The production manager does not see office costs, and the office manager does not see production costs.
Besides approvers you can name people who only see the invoices and do not approve them — a finance director or an owner who needs the full picture without extra steps.
A second signature for larger amounts
Some invoices need two people: when the amount before VAT is above a set limit, say €10,000, or when it comes from certain suppliers. Such an invoice waits for the second signature, and until both have approved it, the accountant's list can hold it back.
The second approver does not have to work in the company: it can be, for example, an owner's representative who is given access to Ezura.
You choose whether the two approve in any order, whether the second approves only after the first, or whether the second has the final word.
What the approver sees and can answer
The approver sees the original invoice, the amount before VAT, the VAT and the total, and beside it the acceptance act or waybill if they arrived together. Nobody has to search for the email that carried the document.
They can approve the invoice or flag it as suspicious with a note for the accountant, and ask for a pay-by date other than the one on the invoice, which the accountant applies with one click. The note stays on the invoice, not in someone's inbox.
The top of the list says how many invoices are waiting for their decision and how many days the oldest has waited, and every invoice shows how long it has been waiting for them.
A separate place to approve
Approvers do not need to learn the accounting software or see what is meant for the accountant. They see only what approval needs: the invoices waiting for their decision, with the original and the amounts. The accounting screens, the export and the settings stay on the accountant's side.
Nobody prints invoices, carries them from office to office or collects signatures and stamps on paper.
Approval on the phone
In the Ezura app the approver sees straight away what is waiting for their decision. The invoice opens with the amounts and the due date. After a decision the app moves to the next invoice, and a decision tapped by mistake can be undone.
When an employee submits their invoice, the approver assigned to it gets a notification on the phone.
The accountant gets approved invoices only
The accountant's list can show only invoices the approvers have already approved. The rest are not hidden silently: the top of the list says how many are still waiting, one click away. An open invoice says “Waiting for review”, and whose decision it is waiting on is shown on the approvers' Submitted invoices page.
If suppliers send invoices to you directly and approval is the whole process, every incoming invoice can go through approval, not only those employees submit.
Frequently asked questions
- Do approvers get an email when an invoice is waiting?
- Not yet. An approver gets a phone notification when an employee submits an invoice. Invoices that suppliers send directly, and the second approver, do not trigger notifications yet: they see what is waiting when they open Ezura or the app.
- Who sets up the approval rules?
- We agree them with you and set them up during onboarding: who approves which invoices, who only watches, and above which amount a second signature is needed. When the rules change, we change them; they cannot be edited on screen yet.
- Does it work for a group of companies?
- Yes. Each company in the group has its own approvers and its own rules in Ezura.
- Can approval follow a project or a supplier?
- The approver is chosen by who submitted the invoice. The supplier and the amount decide whether a second signature is needed. Choosing the approver by project or cost centre is not available yet.
- Can an invoice be rejected?
- The approver approves the invoice or flags it as suspicious with a note. There is no separate "reject" button: the accountant sees the flagged invoice with its note and decides what happens next.
- Does it do a three-way match with the purchase order and goods receipt?
- No. There is no matching against purchase orders and goods receipts yet: the approver decides on the invoice and the documents that came with it.
- What happens to an approved invoice?
- It goes to the accountant, who reviews it and passes it to your accounting system: Rivile, Finvalda, Navision or another. Approval does not replace the accountant's check, it adds to it.
